Practice 03 · Web, software & digital solutionsAPI integration: getting your software to talk

A sales rep enters the order in the CRM, admin copies it into the ERP, accounting keys it again into the invoicing system, and somewhere between the three a wrong reference slips in. Each application does its own job well, but none of them talks to the others. API integration sets up those conversations between systems in a structured, secure and controlled way.

Who it is for, and whenWhen API integration is needed

The subject comes up as soon as one piece of information has to live in several tools at once.

  1. The same records (customers, products, orders, invoices) exist in several tools and drift apart over time.
  2. You want to plug an external service (payment, carrier, electronic signature, mapping, SMS) into your application or website.
  3. A partner platform, a key account or a marketplace requires you to exchange data through its programming interface.
  4. An existing connector misbehaves: silent data loss, duplicates, failed synchronisations with nobody notified.

The scopeWhat Kopus delivers in an API integration

  • Data and flow mapping Which system is the source of truth for which information, in which direction data moves, how often and with what transformations.
  • Reading the API documentation, testing endpoints and identifying limits (quotas, formats, authentication).
  • Connector development Calls, field mapping, transformations, queues when volumes demand them.
  • Business rules applied during exchanges Deduplication, validation, enrichment, handling of special cases.
  • Error handling Retries, quarantine of problem records, alerts to the right people, a searchable log.
  • Security Key and token storage, least-privilege access, encrypted exchanges, secret rotation.
  • The choice between dedicated development and an automation platform (for example n8n, Make or Zapier) for simple flows, with the criteria that tip the decision either way.
  • Design of your own API when you must expose data to partners: interface contract, versioning, documentation, authentication.
  • Monitoring and a procedure for tracking changes announced by API vendors.
  • Consistent data across all your tools.
  • Hours of re-entry removed every week.
  • Monitored, documented, maintainable flows.

Flow mapFlows between systems you can see and replay

In the centre, an integration layer receives, transforms and forwards the data, and for each piece of information a single system is the reference. The exchange mode depends on the use: a webhook when an event must be handled at once, an API call on demand, a scheduled sync for volume. Everything goes through a log, so you know what has moved and can replay what failed.

The methodHow an API integration runs

  1. Inventory of systems and data

We list the applications involved, the information exchanged and the reference system for each.

  2. Flow specification

For every exchange, the trigger, direction, fields, transformations, rules and error behaviour are written down in black and white.

  3. Development and sandbox testing

Connectors are built and checked with realistic data, without touching production.

  4. Gradual go-live

Flows are switched on one at a time, with checks on the first exchanges and comparison against the old method.

  5. Monitoring and maintenance

An exchange tracking board, alerts and adaptation to changes announced by vendors.

Ask a question

What is an API integration for?

It lets applications exchange data or trigger actions in a structured way, with no manual re-keying and no file exports.

No-code automation tool or dedicated development?

No-code tools suit simple, low-volume flows with ready-made connectors. Dedicated development is required when volumes, business rules, security or the absence of a connector demand it.

What happens if one of the applications changes its API?

Vendors usually announce changes with notice. The monitoring in place detects failures, and the connector is adapted before the transition period ends.

What if one of our tools has no API?

There is almost always a solution: automated export, database, or a specific connector. We assess the reliability of each option before choosing it.

What is an API?

An interface that lets two pieces of software exchange data automatically, without human intervention. It is what allows, for example, an order placed on your website to create an invoice in your accounting.

Which tools can Kopus connect together?

CRM, ERP, accounting, invoicing, e-commerce site, email, business tools, payment or logistics platforms: any software with an API or a usable export.

What happens if a flow breaks?

Flows built by Kopus are monitored: an alert is raised, failed exchanges are replayed, and nothing is lost silently. That is the difference between a professional integration and a hack.
