Practice 04 · Artificial intelligence & automationAI integration for business: where to start, and with what framework

Many companies already have subscriptions to AI tools, a few enthusiastic employees and no overall picture. Uses multiply without rules, data leaves the building without anyone deciding it should, and leadership struggles to say what AI is actually contributing. AI integration for business turns that scatter into a programme: chosen use cases, prepared data, confidentiality rules, trained teams.

Our positionWhat we think of AI strategies without a first concrete case

An AI strategy document that does not lead to a measured use case within months remains a statement of intent. Conversely, a case launched without a framework exposes the company to data leaks and to uses it could not defend in front of a customer or an auditor. We hold the two together: a framework light enough to be applied, and a first case modest enough to land quickly yet real enough for its benefits to show in daily work.

Who it is for, and whenWhy launch an AI integration programme

The need often surfaces after a mixed first experience: a tool bought that never found its use, a prototype that impressed and then vanished, or worry about what teams are sending to external services.

  • Senior management wants to know where AI can genuinely cut costs or improve a service, beyond vendor promises.
  • Several departments have launched separate initiatives and the company wants to bring them under common rules.
  • The company handles customer or regulated data and must define what may pass through an external model.
  • Teams are asking for tools, but nobody has assessed their readiness or the training required.

The scopeWhat Kopus produces in an AI integration engagement

The first deliverable is a prioritised portfolio of use cases. For each one, we document the expected gain, how it will be measured, the data needed and its condition, the level of risk and the human control required. This grid lets you choose a first case on shared criteria rather than on enthusiasm.

The second deliverable is a usage framework: which categories of data may be sent to which services, which providers are admitted and on what terms, how uses are logged, who approves new cases. The framework builds in your existing obligations, personal data in particular, and is written to be applied by non-specialists.

The third deliverable is the buy-or-build decision, case by case. An off-the-shelf tool is enough when the need is standard; development is preferable when the data, the rules or the integration with your software are specific. We finish with a training plan: broad awareness of uses and limits, deeper work for the teams carrying the first cases.

  • A realistic, prioritised AI roadmap.
  • Clear rules that protect the company and reassure the teams.
  • First measurable results within months.

Use case portfolioEvery use case has to earn its place

The portfolio lives on after the engagement: a committee bringing together leadership, business teams and a data lead moves cases forward, puts them on hold or sets them aside. A case set aside is not a failure: it stays documented, with the condition that would justify revisiting it. Those that go into development then rely on an off-the-shelf tool or on an AI API integration.

The methodThe stages of an AI integration led by Kopus

  1. Inventory of existing uses

Tools in circulation, team practices, exposed data, expectations and concerns of managers.

  2. Use case workshops by business line

Candidate tasks, estimated gains and risks, qualification of the available data.

  3. Writing the usage framework and confidentiality rules, then validation with leadership and, where relevant, the data protection officer.

  4. Launch of a first measurable use case, with an indicator set before the start and observation in real conditions.

  5. Review and extension decision

Reading the results, adjusting the framework, choosing the next cases, scheduling the training.

Your questionsFrequently asked questions about this service

How do you integrate AI into a business?

By first selecting a use case whose benefit can be measured, checking the data it draws on and the risks it carries, then organising adoption by the teams. The technology comes afterwards.

Is our data at risk with external models?

It depends on the data and on the provider’s terms. The usage framework separates what may be sent to an external service, what requires controlled hosting, and what must never leave your systems.

Do we need to hire an in-house AI specialist?

Not necessarily at the start. A point person able to follow the use cases and keep the framework alive is often enough, with technical expertise brought in case by case.

What does European regulation say about AI?

It imposes graduated obligations according to the risk level of uses, including transparency and human oversight. We build these requirements into the governance framework we create with you.

Is AI compatible with the GDPR?

Yes, if deployed with the right choices: services that do not train their models on your data, suitable hosting, informing people, limited access. Kopus builds these requirements into every project.

How much does a first AI project cost?

A pilot framed on one use case generally represents a few weeks of work, with a budget defined in advance. Model usage costs are then tracked month by month.
